Practical information
Conference schedule
We intent to have a light schedule with a long break for scientific discussions and collaborations. A poster sesssion will be organized during the week. The first day, we will also pan a 3 min / 2 slides session that will all the participants (including PhD students and postdocs) to present their reserach interests.Registration will take place on Sunday July 15th. The first talk will be on Monday July 16th.
Accommodation
Accomodation will be in the Seagull Hotel, a four star hotel in Quy Nhon in priority. If the Seagull hotel is full, you will be accomodated in an equivalent neighbouring hotel.All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotel (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.
Participants will be expected to arrive on Sunday July 15th, and will leave on July August 21th.
Breakfast and dinner will be served in the hotel for all participants, while lunch will be served on the ICISE conference site. The cost per person (full board for 6 days) will amount to $315 US for a double shared room and $450 US for a single room. Cost per additional day is $55 US for double room and $80 US for a single room.
If you wish to have alcoholic or soft drinks with your meals, these will be charged to your account by the hotel. The meals will include mineral water.
Payment for board and lodging should be done upon arrival either in cash or with your credit card (the latter will incur a small supplement).
Important Note:
Hotel reservations are made for the whole duration of the meeting, i.e. from Sunday noon, July 15th to Saturday, morning July 21th. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.
If you intend to arrive before Sunday, July 15th and leave after Saturday, July 21th, please let us know in advance so that we can try to make the appropriate hotel reservation for you: contact rencontres.vietnam@gmail.com
Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.
Registration fees
If you wish to participate in the conference, you should register as soon as possible using the on-line registration form.The deadline for registration and hotel reservation is June 3rd, 2018.
The conference fee will be
- For participants (free for the invited speakers):
- Until June 3rd 2018 : 350 USD.
- After June 5th 2018 : 420 USD.
- For accompanying members:
- Until June 3rd 2018 : 120 USD.
- After June 5th 2018 : 150 USD.
The registration fee includes:
- Pick-up service from/to Quy Nhon Airport on Sunday August 5th and Saturday August 11th
- Social activities and Banquet

We list here some rules as they apply in summer 2017: we will strive to update these informations regularly, but you should make sure they indeed apply to august 2018 before traveling.- All participants do require a visa to visit Vietnam, except for few exemptions listed below.
- Vietnam Visa exemption is granted to holders of a passport from:
- Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
- Philippines for visits of 21 days at the maximum. Japan, South Korea, Sweden, Norway, Denmark, Russia and Finland for visits of 15 days at the maximum.
- At the end of June 2015, 5 more countries have been added to this list: France, Germany, Italy, Spain, United Kingdom for one year and then prolonged for another year in june 2016 and again for one year on June 12th 2017.
To obtain a visa:
- Please apply for a TOURIST visa: you may use the official website to get the E-visa. The time of processing is only 3 to 4 working days to get it. You just print out the approved E-visa and present it directly to the officer at the immigration desk.
- If you plan to stay in Vietnam longer than a month, please either go to your nearest vietnamese consulate or through the Internet (you will have to retrieve it on your arrival) at the following websites:
This internet visa procedure is cheap but it does take some time (~ 60 min) at the airport immigration office, depending on your position in the queue. Do not forget to have with you 2 passport photos and USD in cash as required by the internet visa service.
